About this tool

Quotation vs estimate: what is the difference?

A quotation is a fixed price for a clearly defined job. Once your client accepts it, you are generally expected to deliver at that price. An estimate is an informed approximation, used when the final scope is not fully known and the cost may change.

Whichever you send, a written quote protects both sides. It records what is included, what is not, how long the price stands and how payment works. When the client accepts, you can turn the same items straight into an invoice with our invoice generator.

Good to know

How to write quotes that win work

Break the work into parts

Itemised quotes feel more transparent than one lump sum, and they make it easier for clients to approve.

Set a validity date

Prices for materials, currency and staff time change. A 15 to 30 day validity period protects your margin.

State what is excluded

A short line about what is not included prevents most scope disagreements later.

Mention payment terms early

If you need an advance, say so in the quote, not after the client has said yes.

Follow up once, politely

Many quotes are accepted after a short, friendly follow-up a few days later.

Reuse your details

Your business details are saved in your browser, so the next quote takes half the time.

FAQ

Quotation & Estimate Generator FAQs

Can I switch between quotation and estimate?

Yes. Use the Document title option to choose Quotation, Estimate or Proposal. The PDF title changes automatically.

Does the quote include a signature line?

Yes. Every PDF has an "Accepted by" signature line so your client can sign and return it.

Can I add a discount to a quotation?

Yes. Enter a discount percentage and it is applied to the subtotal before tax.

Is the quotation legally binding?

A signed quotation can form part of an agreement, but rules differ by country. For large or complex projects, a proper contract is still recommended.

Is my data private?

Yes. The tool runs in your browser and nothing is uploaded. Drafts are stored only on your device.
